Thank you for volunteering as a Team Parent/Team Manager! You’re the team’s administrative backbone, keeping families informed and game days smooth—so coaches can focus on the players. The Cypress AYSO Region 154 Board is here to equip you with everything you need and make the job as easy as possible.

Fall 2025 Coach & Team Parent Meeting Recap

It was great to see such an amazing turnout of volunteers for our children at the Cypress Community Center on Wednesday, August 13, 2025! We also had a great turnout for the Live Scan Fingerprinting event held just before the meeting. Thank you to everyone who is stepping up to help this season.

Major Season Milestones

  • August 16, 17, 22, & 23: Field Marshal Training Classes(Volunteers only need to attend one session)
  • August 23: First Weekend of Games (Scrimmages for 5U - 12U)
  • September 6: First Weekend of Games (14U - 19U)
  • September 7: Picture Picnic Day
  • October 3-5: Silent Saturday Weekend
  • November 8: Last Weekend of Regular Season Games
  • November 15: Cypress Cup Tournament
  • December 6-7: Area Playoffs (For eligible 10U-14U Core teams)

Your Mission: A Team Parent Quick Start Guide

Thank you for volunteering! Your role is essential to a smooth and fun season. Here is a simple checklist to guide you. These are best practices and tips we've gathered from veteran Team Parents to make your life easier, but feel free to adapt them to what works best for you and your team!

  • Pre-Season

    • Attend the mandatory Team Parent meeting.
    • Work with your Coach to create and share a team roster with contact info.
    • Send a "Welcome to the Team" email (see our template below!).
  • First Few Weeks

    • If your coach requests, help distribute uniforms.
    • Create and distribute the team snack schedule.
    • Allergy check: confirm any food allergies and note them on the snack schedule.
    • Confirm all parents know how to access game schedules and field maps. Click here for the Practice & Game Info Page.
    Heat Tip: On hot days, it’s a great idea to remind families to bring canopy tents for shade.
  • Ongoing Duties

    • Send a weekly reminder with game details and who's on snack duty.
    • Coordinate your team for Picture Day.
    • Assign field setup/takedown (goals, corner flags) and trash pickup each week. Use the Volunteer Sign-Up link in the Toolkit.
    • Organize the end-of-season party and coach/player recognition.

Team Parent Duties (At a Glance)

  • Communication & Coordination

    • Be the liaison between coach and families (weekly reminders, changes, announcements).
    • Maintain an easy-to-find hub with roster, schedule, field maps, and key links.
  • Game-Day Support

    • Ensure families know arrival time, field, and post-game clean-up.
    • Confirm field setup/takedown and trash pickup coverage.
  • Season-Long Tasks

    • Picture Day coordination (times, lineup, reminders).
    • Support region fundraisers/events as announced.
    • Plan end-of-season celebration and coach appreciation (optional/voluntary).
  • Coach Support

    • Uniform distribution only if the coach requests it.
    • Help collect RSVPs/availability as needed.

Frequently Asked Questions

What do I do if a child gets hurt during a game or practice?

Ensure their parent/guardian is notified immediately. For any injury requiring more than basic first aid, please fill out an Incident Report Form (available in the Toolkit section above) and give it to your Coach.

Who do I contact for questions or help during the season?

Please contact your Division Director first. They will route your question as needed.

How does our team qualify for the Cypress Cup playoffs?

Playoff eligibility for divisions 10U and above is based on a team volunteer point system. For the full breakdown of how to earn points, please review the Referee Point System on the Practice & Game Info page. Click here to view the point system.

What is the policy for rainouts or game cancellations?

All game status updates are posted on Matchtrak, which is the official source for all schedules. Always check there first for the most current information. The region will also send out an email blast in the case of widespread cancellations.
